Terms of Service
Plain-English terms for working with HIVEMIND SOLUTIONS. Short, honest and fair to both sides.
Effective November 2, 2026. Last updated November 2, 2026.
1. Who we are
HIVEMIND SOLUTIONS (“HIVEMIND,” “we,” “us”) is a small brand, marketing and website studio based in Ames, Iowa, run by Alexander. These Terms apply when you use thehivemindsolutions.com or buy any of our services. By requesting or paying for a service, you agree to them. If you don't agree, please don't use our services.
2. Our services
Each service is provided as described on its own page and in the written quote or email we send you before work begins. That includes the $79 Main Street Tune-Up, the $49 Review Reply Catch-Up and Review Care plan, the $59 Small Business Saturday Promo Kit, Google Listing Care, the Social Media Starter Kit, the Logo & Brand Refresh, Print Pieces, the AI FAQ Helper, the Email & Text Promo, the Online Booking & Ordering Setup, and our website, local SEO and care plans. If the email we agree on and the website differ, the email we agreed on controls.
3. You keep ownership
Your business is yours. You keep ownership of your Google Business Profile, Facebook and other social accounts, your domain name, your website content, your logo, photos and anything else you give us.
We never ask for your passwords. When a service needs access, you grant it with the platform's own tools, for example as a Manager on your Google Business Profile or an Editor on your Facebook Page. You can remove our access at any time. If you prefer, we can deliver paste-ready files and you post them yourself.
Once you've paid in full, you may use the posts, graphics, copy and other deliverables we make for you for your business. We may show non-confidential work in our portfolio unless you ask us not to.
4. Your approval and your information
You approve every review reply, social post, Google post and other public content before it goes live. We only publish what you've approved.
You're responsible for the accuracy of the information you give us, such as your hours, prices, offers, services and contact details, and for having the right to use any logos, photos or other material you send. You're also responsible for following the rules of the platforms you use, including Google's review policies (for example, not offering incentives for reviews).
For logo and brand work, we create original designs, but we don't perform trademark searches or registrations. For print pieces, please check every detail on the final proof before printing.
5. Email and text campaigns
Email & Text Promo campaigns are only for your own customers who have agreed to hear from you. We don't provide, buy or rent contact lists, and we won't help send to purchased lists. You're responsible for your list, for having the consent the law requires (text messages generally require prior consent), for keeping consent records, and for honoring unsubscribe and STOP requests. We write with CAN-SPAM and TCPA rules in mind, but that isn't legal advice.
6. AI FAQ Helper
The AI FAQ Helper answers visitors' questions on your website using information you provide and approve. You approve its answers before it goes live and you're responsible for keeping that information current. AI can make mistakes: we design the helper to stick to your approved information and pass other questions to you, but we don't guarantee that every answer will be accurate, complete or up to date. The helper doesn't make promises, offers or bookings on your behalf, and it isn't for emergencies or for medical, legal or financial advice.
Visitors' questions are processed by the third-party chat tool that runs the helper. You're responsible for your website's privacy notice. We may pause the helper if it's being misused or if a problem needs fixing, and you can ask us to change or turn it off at any time.
7. No guarantees about results or platforms
We do careful, honest work, but we can't guarantee rankings, reviews, ratings, traffic, calls, sales or any other result.
Google, Facebook and other third-party platforms make their own decisions and can change their rules at any time. Google alone controls business verification, suspensions, which information appears in search and AI answers, and whether reviews are removed. We aren't responsible for those decisions, though we'll help you work through them where we can.
8. Payment
We bill by invoice, sent by email after we've agreed on the details. Unless we agree otherwise in writing, payment is due before work starts. Nothing is charged through this website. Monthly plans (such as Review Care, Google Listing Care and the AI FAQ Helper's monthly fee) are billed monthly and are month-to-month unless your written quote says otherwise.
You can cancel a monthly plan anytime by replying to any of our emails or writing to us. Cancelling stops the next month's invoice. We don't refund a month that has already started, and your service continues through the end of that month.
9. Refunds and revisions
If you've paid and we haven't started the work, you can cancel for a full refund. Once work has been delivered, we don't offer refunds; instead, if something isn't right, tell us and we'll make a reasonable fix-it revision so it matches what we agreed on.
10. Third-party costs
Fees charged by others are separate from our prices unless your quote says they're included. That covers domain registration, printing, paid platform features, advertising, booking, ordering and payment-processing fees, email and text sending fees, and any other third-party service.
11. Limitation of liability
To the fullest extent the law allows, our total liability for any claim related to our services is limited to the amount you paid us for the specific service the claim is about. We aren't liable for indirect or consequential losses, such as lost profits, lost data or business interruption, or for the actions of third-party platforms.
12. Not legal, tax or financial advice
Our guides, checklists, recommendations and deliverables are general marketing information. They aren't legal, tax, accounting or financial advice. For those questions, please talk to a qualified professional.
13. This website
The guides, sample designs and tools on this site are provided as-is for general information. Portfolio concept work shows design ideas and isn't a claim that those businesses are our clients unless we say so.
14. Changes to these Terms
We may update these Terms from time to time. The effective date at the top shows when they last changed. Work already agreed on follows the Terms in place when we agreed to it.
15. Governing law
These Terms are governed by the laws of the State of Iowa, without regard to its conflict-of-law rules.
